Ask in plain English
Type it or tap the mic and say it. Customer names, dollar amounts, dates, and who should be on the job all count. If a detail is missing, the assistant can ask you to clarify before drafting.
Read the card
The assistant answers with a card that shows the exact record it would create or change: every line item, the total, the date and time, the customer it matched, the note it will print. Invoices and estimates come with a full PDF preview and an edit link.
Tap once, or not
The proposed business action waits for your confirmation. Dismissing its card does not carry out that action. Assistant requests use your allowance or prepaid credit separately from the action; conversation history is saved. Confirmed actions are recorded in your activity log.
The card is the whole change. What you read on it is what PocketBoss saves: the same records, the same PDFs, the same emails and texts as if you had done it by hand.

Dictation and read-aloud
Tap the mic to talk instead of type, on a phone or a laptop. Turn on read-aloud and the assistant reads its answers back when it is safe to listen. Speech controls depend on your device and browser.

Ask for the appointment, then the invoice with a note, then to send it, all in one message. The assistant works through the chain and stops at each card for your tap.
New customers on the spot
If the name is not in PocketBoss, the assistant asks for the missing contact details and drafts a customer card for you to confirm before continuing with the invoice.
Same name, different property
A landlord with several properties? The assistant asks which address before it drafts anything.
Preview, then send
See the real PDF before it goes out. Check the result for each delivery channel before retrying a send. A failed text does not by itself tell you whether the email was delivered.
Your permissions apply
Your subscription plan and account permissions still apply. The assistant does not unlock higher-plan features, and team members only get tools and records their permissions allow.

Frequently asked questions
Can the assistant change something without me?
No. Reads (schedule, invoices, stock levels, reports) return an answer straight away. Proposed actions that create or change business records, send messages, or record payments are shown on a card first; your confirmation carries them out. Assistant usage is separate and can consume your request allowance or prepaid credit before you confirm a card. There is no setting that removes the card.
What counts as a request?
One message from you is one request, whatever it asks for. A message that books the appointment, drafts the invoice, and sends it is still one request. Confirming a card does not count.
What happens when I run out of included requests?
Requests past your monthly allowance cost 5 cents each and come out of your prepaid AI credit, the same wallet the AI Receptionist uses. You can add credit from the assistant itself, from Billing, or from the AI credits page, in packs from $5 to $25 plus the reload fee shown before checkout. With no allowance left and no credit, the assistant pauses until you add credit.
Who on my team can use it?
Owners can use tools available under their subscription plan. Team members see the AI Assistant once you grant the permission, and inside it they only get tools allowed by both the plan and their PocketBoss permissions. A technician who cannot see invoices in PocketBoss cannot ask the assistant for them either.
Does it work on my phone?
Yes. The AI Assistant is available in the PocketBoss web app, including your phone browser, and the public Android app. It is not yet available in the native iPhone app; iPhone users can use the web app. In the web app, microphone and read-aloud controls depend on browser speech support.
What does it do with my data?
Your request and relevant business records are sent to Anthropic to produce the answer, under commercial API terms that do not use that data for model training. Account permissions limit access. Conversation history is scheduled for deletion 90 days after its last activity; billing and action audit records have separate retention. See our Privacy Policy for details.
What if a send fails?
Read the result for each requested channel and check the document status before retrying. If email and text were requested, a failure in one channel does not mean both failed. Correct missing contact details and retry only the delivery you still need.
Is the AI Assistant the same thing as the AI Receptionist?
No. The AI Receptionist answers forwarded calls from your customers. The AI Assistant works for you, inside PocketBoss, on the records you ask about. They share one prepaid AI credit wallet, so a single balance covers both.
